This policy explains what we collect, why we collect it, what we do with it, and the rights you have over it. It applies to accesstowers.co.uk and to the enquiries, hire arrangements and training bookings we handle.

When you contact us. If you use an enquiry form, email us or call us, we collect your name, your email address, your telephone number, your company name where you give one, and whatever you tell us about the work you need doing.
When you hire equipment. We collect the contact and delivery details needed to fulfil the hire, including the site address, and the billing details needed to invoice you.
When you book training. We collect the names of the people attending, along with contact details, and any information you give us about access requirements or additional needs so we can make reasonable adjustments on the day.
When you apply for a credit account. We collect the business, trading and financial details set out on the application form, together with any trade references you provide.
When you use the site. We collect information about how the site is used through cookies and similar technologies. This is described in our Cookie Policy.
When you use live chat. If you start a chat, we collect the content of that conversation and any contact details you give during it.
Under UK data protection law we must have a lawful basis for using your personal information. Ours are as follows.
To perform a contract with you. Arranging and delivering equipment hire, arranging training, issuing invoices, and dealing with returns, damage or cancellations.
To comply with a legal obligation. Keeping accounting and tax records, and maintaining the training records we are required to keep as an accredited centre.
For our legitimate interests. Responding to enquiries, keeping records of correspondence, understanding how the site is used so we can improve it, recovering debts, and protecting the business against fraud or misuse. Where we rely on legitimate interests, we have considered whether they are outweighed by your rights and concluded they are not.
With your consent. Where we send marketing communications you have asked to receive, and where non-essential cookies are used. You can withdraw consent at any time.
We are an accredited PASMA and IPAF training centre. When you or your staff attend an accredited course, we are required to pass delegate details to the relevant accreditation body so that qualifications and cards can be issued and verified. This is a necessary part of delivering the course, and a course cannot be certificated without it. Those bodies act as controllers of that data in their own right and handle it under their own privacy policies.
We do not sell your personal information, and we do not share it for other organisations’ marketing.
We share it only where we need to: with the accreditation bodies described above; with our IT, hosting, email and website suppliers who process data on our behalf under contract; with our accountants and professional advisers; with delivery and transport partners where that is needed to get equipment to site; and with law enforcement, regulators or courts where we are legally required to do so.
Our systems are hosted in the UK and the European Economic Area wherever possible. Some of our suppliers, including analytics and live chat providers, may process data outside the UK. Where that happens, we rely on the safeguards permitted by UK data protection law, such as adequacy regulations or standard contractual clauses.
We keep personal information only as long as we need it.
Enquiries that do not lead to work are kept for a limited period and then deleted. Records relating to hire and training contracts are kept for the duration of the relationship and then for as long as we may need them to deal with a claim or to meet our legal obligations. Accounting records are kept for the period required by HMRC. Training and certification records are kept for as long as the accreditation body requires, so that qualifications can be verified.

We use appropriate technical and organisational measures to keep personal information secure, including encrypted connections to this website, access controls so that staff only see what they need for their role, and regular review of the systems we use. No transmission over the internet can be guaranteed completely secure, but we take these obligations seriously and will notify you and the Information Commissioner’s Office where we are required to do so in the event of a breach.
We will only send you marketing by email where you have agreed to it, or where you are an existing customer and the message relates to similar products and services. Every marketing email contains an unsubscribe link, and you can also ask us to stop at any time by emailing info@accesstowers.co.uk. Opting out of marketing does not affect messages we need to send you about a live hire or booking.

This website and our services are aimed at businesses and adults. We do not knowingly collect personal information from children. Where a training delegate is under 18, we ask for the consent of a parent, guardian or employer as appropriate.
